The Japanese word Kanban means card, sign or signboard. It is a system which makes use of visual cues to indicate when a certain event should take place. For instance, in a manufacturing industry, the shipping department can send a card or sign requesting certain products to the assembly line. The kanban system, in this case, creates a link between the two divisions and improves the workflow by connecting the separate work processes of the same business.

Creating a Kanban

Our brains are wired to process visual information better. Placing items in folders often leads to forgetting about them. It is easier to manage tasks that you can see. It also provides kinesthetic feedback when you pull a note and place it in the “Completed” column. To create a Kanban, you can opt for a whiteboard, or make use of an office wall.

Start with the basics and divide the board into three columns: “Tasks To Do” (separated by Urgency & Importance), “Work In Progress” and “Completed.” The most essential thing about Kanban is visualizing the flow of your work.

Optimize Daily Tasks & Reduce Work in Progress

Consider utilizing colour coded sticky notes by type of task; fill the “Tasks” column stating the work that needs to be done. This process can prove to be extremely helpful when trying to determine what kind of tasks are present on the board, which ones are getting completed the fastest and where you might need extra support.

The goal is to get more tasks done in an effective order. Set limits such as the maximum allowable number of tasks in the “Work In Progress” column at a single time. Leaving a task unattended to start with a new one often eats up your mental capacity. For this reason, limiting the amount of work in progress can help you be more focused, finish tasks faster and with better quality. It can also ensure more completion and less revision.

Evaluate and Improve

At the end of the day, go through the tasks marked “Completed.” For instance, if you mostly finished blue colored tasks, identify why you were able to finish those tasks faster than the others. Recognize patterns in order to come up with solutions and employ the results in order to improve your workflow.

The workspace and office environment have a huge impact on employee productivity. A person’s mood depends greatly on the surroundings in which they operate, which then determines their level of productivity. On average, an employee spends eight hours of each weekday at work. A place where a person spends a good chunk of their day is bound to have an impact on them. A conventional office structure, mundane interiors, dull lighting, and lifeless walls kill productivity faster than you can imagine. While a lively office with good lighting, a vivid color scheme, cool tech and innovation in an aesthetically pleasing design encourages creativity and uplifts the employees’ mood, allowing them to be more productive.

Color psychology plays a big role in design; each color instills different emotions in a person. Warmer hues tend to inspire feelings of happiness and energize a person, while dark or dull shades are generally associated with feelings of somberness. Thus, it is wise to consider color psychology when finalizing a color scheme for your office.

Furthermore, you should consider allowing a little play in place of some of the traditional office furniture and decorations. While you don’t have to opt for graffiti on your walls, beanbags in the break room and a human chessboard, you can definitely allow for a design and décor that provide comfort and furniture that creates a laid-back atmosphere and a sentiment of fun. Why fun you ask? An effective workspace is also linked to employees’ energy levels. A good working environment with energized employees allows for impromptu decision-making, quicker completion of assignments, and better working quality.

While not every industry allows for this design, there are ways you can bring elements of it into the office environment even in a seamlessly professional way.

An open office plan is a type of architectural and interior design floor plan for an office, which consists of a large room or hall that has virtually no internal walls or partitions. Instead of dividing the place into several small rooms or private offices, the furniture acts as a way of segmenting the different spaces. While open-concept offices are not something new, they are currently back in trend.

Open-concept offices have their advantages and disadvantages. You must consider the needs of your current working environment before understanding which design is best suited for your floor plan.

Creativity, Flexibility & Adaptability

One of the biggest advantages of “open-concept” is that it gives you a larger playing field in terms of flexibility and experimentation in your office design. You can be as creative as you want; as there are no barriers or boundaries to working within the space. Furthermore, there is increased adaptability as workstations need to be added or removed for new employees. To this same argument, the cost of adding and removing offices designed in this style is significantly less than in a closed office setting.

Improving Communication & Innovation

You literally cannot have anything but an “Open Door Policy” when working in an open-concept environment. The advantages seem quite obvious; making employees and supervisors more approachable and allowing for colleagues to have efficient and immediate interactions. By removing physical barriers, you improve the flow of ideas between team members by allowing employees to have impromptu collaboration sessions while at their desk and even mid-task. In turn, this creates a team building environment and boosts employee morale. By being able to have constant communication, employees are more tuned into the work happening within their team and other departments. This helps to encourage sharing of information and reduction of redundancies. While there are a variety of advantages this design offers, it can also cause distractions and lower productivity due to lack of privacy and quiet time.

Changing the Outlook

While an open-concept will improve the ability to communicate and collaborate, when it comes to getting down to the tasks at hand, it can cause some barriers for the employees. Even if your employees can work with the white noise of dialogue in the background, sometimes the impossibility of changing up the physical space you work in can lower productivity. Many people need to move to a different setting to get work done. An open-concept does not allow for this, as space and the layout seldom, if ever, change. This brings me to my closing remarks …

Overall, both types of office designs have their pros and cons, so you need to select the design depending on what suits your companies needs and working environment best. Development

Order Processing, Installation, and Delivery

Order processing is a very crucial part of the process which defines the efficiency and effectiveness of the manufacturer. Shop drawings are completed and submitted for review and approval. This is where critical field dimensions are identified and incorporated into furniture plans. A customer should also approve samples, provide power/data requirements onsite and then finally the manufacturing can be completed after all these authorizations are in place.
